Guide Scheduling & Operations Coordinator

We are looking for an experienced and organised Guide Scheduling & Operations Coordinator to manage scheduling and operational coordination for a team of approximately 80–100 guides in our tourism company in Rovaniemi.

The ideal candidate must have hands-on experience with MaraPlan and Bókun systems and a good understanding of tourism operations, workforce scheduling, and working-time administration.

Key Responsibilities

• Prepare and manage work schedules for 80–100 guides.

• Use MaraPlan for workforce scheduling and working-time management.

• Use Bókun to manage bookings and coordinate tour operations.

• Coordinate guide availability, shift changes, replacements, and last-minute schedule adjustments.

• Monitor working hours, overtime, absences, and working-time balances.

• Ensure sufficient staffing for daily tours and activities.

• Maintain accurate scheduling records and support payroll preparation.

• Coordinate closely with operations managers and team leaders.

• Ensure compliance with applicable Finnish employment legislation and collective agreements.

Requirements

• Practical experience with both MaraPlan and Bókun is required.

• Previous experience in workforce scheduling, tourism operations, or personnel coordination.

• Ability to manage schedules for a large team.

• Good understanding of Finnish working-time regulations and collective agreements.

• Strong organisational, communication, and problem-solving skills.

• Good command of English; Finnish is an advantage.

• Ability to work efficiently in a fast-paced, seasonal tourism environment.
